    Hi Claire,

I understand the inconvenience this issue may be causing. Outlook and Teams calendars normally work together seamlessly, but the integration may not function as expected if the applications are signed in with different accounts, if the mailbox is not hosted on Microsoft 365 Exchange, or if the Teams integration has been disabled.

    Please try the following steps:

1/ Confirm that Outlook and Teams are using the same account

In both Outlook and Microsoft Teams, select your profile picture and verify that you are signed in with the same work or school account.

Please note that Teams calendar integration requires a Microsoft 365 Exchange mailbox. Accounts configured through POP/IMAP services such as Gmail, Yahoo, or iCloud do not support full Teams and Outlook calendar integration.

2/ Test the invitation in Outlook on the web

    • Go to: https://outlook.cloud.microsoft
    • Sign in with the same account used in Teams.
    • Check both your Inbox and Calendar.
    • Open the meeting invitation and see whether the options to Accept, Tentative, or Decline are available.
    • If present, select Join Teams Meeting.

If the invitation works in Outlook on the web but not in the desktop application, the issue is likely related to the local Outlook installation or Teams integration.

    3/ Restart Teams and Outlook

    • Close Outlook.
    • Right-click the Teams icon in the system tray and select Quit.
    • Reopen Teams and allow it to fully sign in.
    • Open Outlook again

4/ If you use classic Outlook, enable the Teams add-in

    • Open Outlook.
    • Go to File > Options > Add-ins.
    • Next to Manage, select COM Add-ins, then click Go.
    • Verify that Microsoft Teams Meeting Add-in for Microsoft Office is enabled.
    • Click OK and restart Outlook.

5/ Check other mailboxes and calendars

If multiple accounts are configured in Outlook, the invitation may have been delivered to a different mailbox. Please check:

    • All Inbox folders
    • Junk Email and Deleted Items folders
    • All calendars listed under My Calendars
    • Whether the invitation was sent to an alternate email address or alias

    If the issue persists:

Please contact your IT administrator and ask them to verify the following:

    • Your account has an active Microsoft Teams license.
    • Your account has a functioning Exchange Online mailbox.
    • The Teams Calendar app has not been disabled by organizational policies.
    • Exchange Web Services (EWS) access is available.
    • Teams meeting integration is enabled for your account.

Teams and Outlook calendar integration is only available with supported Microsoft 365 Exchange-based work or school accounts. If Outlook is using a personal Outlook.com account, an IMAP/POP account, or another third-party mailbox, Teams meeting integration and calendar acceptance in Outlook can be unavailable.

    For new Outlook:

    1. Open Calendar.
    2. Select New event.
    3. Check whether a Teams meeting toggle appears.
      • If it does not appear, sign in to both Outlook and Teams with the same work or school account.
      • Use the new Teams client.
    4. If the account and client are correct but the toggle is still missing:
      • Close Outlook.
      • Right-click the Teams icon and select Quit Teams.
      • Start Teams and sign in.
      • Start Outlook again.

    Important limits:

    • The Outlook Teams add-in does not support creating meetings with a personal account.
    • Scheduling Teams meetings in Outlook is only available for M365 Business Exchange accounts.
    • POP/IMAP accounts such as Gmail, Yahoo, iCloud, and similar providers are not supported.
    • In new Outlook, there is no separate Teams add-in to install; the feature is built in as the Teams meeting toggle.

If the issue is specifically about accepting shared calendar invitations:

    • In some Outlook scenarios, accepting in classic Outlook can fail or crash.
    • A supported workaround is to accept the invite in new Outlook or Outlook Web App.
    • If accepting a shared Outlook.com calendar with a Microsoft 365 business account in Outlook 2016, the invitation must be accepted from Outlook on the web, iOS, or Android.

If Outlook is not connected to a supported Microsoft 365 Exchange work account, full Teams calendar linking will not be available. In that case, Teams meetings can still be created from the Teams app directly.
