For Outlook.com, the self-service checks are:
- Check Deleted Items.
- If the messages are there, select them and choose Restore.
- If they are not there, in Deleted Items select Recover items deleted from this folder and restore any matching messages.
- Messages removed from Deleted Items are recoverable for 30 days.
- Messages deleted from a child’s account can’t be recovered.
- Check Archive.
- Archived messages do not appear in Inbox.
- If found, select the message and choose Move to > Inbox.
- Check Junk Email.
- If the message was marked as junk, select it and choose Report > Not junk.
- Messages are automatically removed from Junk Email after 30 days and aren’t recoverable.
- Check the Other tab if Focused Inbox is enabled.
- If the message is there, select Move to > Move to Focused inbox.
- Check the Filter menu above the message list.
- Set it to All so older messages are not hidden by a filter.
- Check Rules settings.
- A rule or Sweep rule may have moved messages out of Inbox.
- Rules can be viewed and edited only on a computer.
For messages from 2020–2022, recovery depends on where they went:
- If they were only moved to Archive, Junk Email, Other, or another folder, they may still be found.
- If they were removed from Deleted Items or Junk Email long ago, Outlook.com does not provide recovery beyond the documented 30-day recovery windows.
- If the mailbox was inactive long enough to be closed, Outlook.com deletes the mailbox and email.
A practical next step is to search all folders for a known sender or subject, then check Archive, Deleted Items, Junk Email, Other, filters, and rules on a computer.
