Dear @Bennett Harlow
I would be happy to help you select and configure the best option for your project requirements.
To ensure I set up the most efficient structure for your workspace, could you please provide a few more details?
- Will multiple team members need to update tasks simultaneously, or will only a few administrators manage the list?
- Do you need to track specific progress percentage fields (e.g., 25% complete) or milestones on the timeline view?
- Are these task items currently saved in an Excel spreadsheet or another system, or will you be building the list from scratch?
- Do you need to group or color-code tasks by specific departments, status, or assigned owners?
- Would you like automated email or Teams notifications sent when a task status changes or approaches a due date?
Here is a breakdown of the core concepts to help you understand what standard Microsoft 365 plans offer without additional licensing costs:
- Microsoft Lists (Timeline View): This is the modern, primary solution for creating Gantt-style charts without extra fees. By adding Start Date and Due Date columns to a standard list, you can generate a visual Timeline View. It renders horizontal bars representing task durations directly inside your browser or Microsoft Teams.
- Handling High Task Counts: Standard Microsoft 365 lists can store up to 30 million items. However, when views display more than 5,000 items at once, you may encounter the List View Threshold. To keep performance fast and prevent display errors, we use indexed columns and filtered views (e.g., filtering tasks by Active, This Month, or By Category). Please refer to this document: List View Threshold for large lists and libraries and Working with the List View Threshold limit for all versions of SharePoint
- Classic SharePoint Tasks vs. Modern Lists: Classic SharePoint Task lists contain an older built-in Gantt view format, but Microsoft is phasing out classic interfaces. Modern Microsoft Lists is faster, offers cleaner visual views, and works seamlessly on mobile devices and inside Teams. Please refer to this document: Create, change, or delete a view of a list or library
Once you share the approximate task count and whether you need task dependencies, I will provide the exact step-by-step instructions to configure your list and view filters.
