What is the best substitute for MS Publisher, and how do I convert my files to it?

Were the instructions provided by the AI able to help you, or are you still unable to convert your Publisher files?

Please note that Microsoft’s PowerShell script is provided as a sample and may require modification and testing for your specific setup.

If the issue remains, please share the exact PowerShell script error message and command you used. Also confirm whether Publisher is installed and activated, and whether you can manually open and export one of the affected .pub files to PDF.

This information will help narrow down whether the problem is related to PowerShell, the file path, Publisher, or an existing PDF with the same name.

I was finally able to speak with someone who walked me through the powershell proceedure which is extremely complicated. I don't think I will be using is in the future.

I understand why you would not want to use the script again, especially given its complexity.

For a small number of files, manually exporting them to PDF may be the easier option.

There is no direct Microsoft replacement for Publisher. For common Publisher scenarios, Microsoft recommends these Microsoft 365 apps:

Word or PowerPoint for ads, flyers, brochures, certificates, business cards, calendars, and cards
PowerPoint for banners, signs, and posters
Word for invoices, applications, forms, envelopes, labels, letterhead, newsletters, and programs

For existing .pub files, the supported migration paths are:

For viewing and sharing: convert Publisher files to PDF
- Open the Publisher file
- Go to File > Save As
- Choose a location
- Select PDF as the file type
- Select Save or Publish
For continued editing in Microsoft 365: convert PDF to Word
- Open Word
- Go to File > Open
- Open the PDF file
- Select OK in the dialog box
- Word opens it as an editable document
Note: the converted Word document is optimized for text editing, so the layout can differ from the original, especially for graphics-heavy publications.
For many files: use the sample PowerShell bulk conversion script
- Requires a working and licensed version of Publisher installed
- Download the sample script and modify/test it for the environment
- Example usage:
  - Convert-PubFileToPDF.ps1 -Filter "C:\Documents\MyFile.pub"
  - Convert-PubFileToPDF.ps1 -Filter "*.pub" -Recurse
Note: if the target PDF already exists, the script does not export that file and reports an error. Rename or delete the conflicting file before rerunning. Also test the script before bulk conversion.

If the goal is to stay within Microsoft 365, Word and PowerPoint are the recommended substitutes, chosen by document type. If the goal is preserving old files, PDF is the primary supported conversion format before October 2026.
