Using New Outlook on Windows for professional communication and productivity
In new Outlook, category behavior in shared or delegate mailboxes depends on how the mailbox is added and on the permissions granted.
What changed:
- In new Outlook, shared mailboxes added only under Shared with me do not expose the full category-management experience.
- If the shared mailbox is added as an account, category-related settings are supported for that mailbox.
- For delegate scenarios, category access also depends on the required delegate permissions being granted and accepted.
What to check:
- In new Outlook, verify how the mailbox was added.
- If it is under Shared with me, that can limit category use.
- To add and view shared or delegate mailboxes and folders: select the three dots next to Shared with me and choose Add shared folder or mailbox.
- If the shared mailbox was added as a full account and that is no longer needed, it can be switched back by selecting More on the shared mailbox and then Use as shared folder. This confirms new Outlook treats these two modes differently.
- If this is a delegate mailbox for an executive, confirm category-management permission was granted, then accept the permission and restart Outlook.
- In new Outlook, to manage an executive’s categories as a delegate:
- Go to Settings
- Select Accounts > Categories
- Select the executive’s account from the drop-down list
- Create new categories there if needed
- To apply categories to the executive’s calendar items:
- Go to Calendar
- Expand People’s calendars
- Select the executive’s calendar
- Right-click a meeting or event and select Categorize
Important limits in new Outlook:
- Delegates can create categories on behalf of the executive, but editing, favoriting, or deleting existing categories on behalf of someone else is not yet supported.
- It may take up to 30 minutes for a new category to appear in the other person’s calendar.
If the issue is specifically with a shared mailbox inbox and categories are now greyed out after the move to new Outlook, the most relevant supported explanation is that category support differs based on whether the mailbox is being used as a shared folder versus as an account, and whether the required delegate/category permissions were granted and accepted.
