Using Microsoft Teams on macOS, including installation, features, and compatibility
If Transcription is missing in Teams, the cause is usually permissions, meeting role, or organizer/admin settings rather than the Mac app itself.
Check the lock tooltip on Start transcription if it appears. Teams uses that message to explain why transcription is unavailable. Common supported cases are:
- Guest or external attendee
- If joining as a guest or from a different organization than the organizer, transcription cannot be started directly.
- The supported path is to ask someone from the organizer’s organization to start transcription and share it afterward.
- Anonymous join
- If joined without signing in, transcription is unavailable.
- Sign in with an authenticated Teams account.
- Organizer restricted who can record/transcribe
- The organizer can set Recording & transcription options so only the organizer, co-organizers, or selected people can start or access transcription.
- Ask the organizer to change Who can record and transcribe or Who has access to the recording or transcript.
- Another option is for the organizer to make the attendee a co-organizer.
- Organization policy blocks transcription
- If Teams shows that transcription is unavailable due to organization policy, the IT admin must enable transcription for meetings or calls.
- Policy changes can take time to apply.
- Copilot turned off for the meeting
- If the meeting shows that Copilot is off for the meeting, transcription is unavailable to attendees.
- The organizer must close the meeting, turn on Copilot in meeting options, and restart the meeting.
About subtitles/live captions: Teams can show live captions, but captions are not saved. To get text that can be downloaded later, transcription must be turned on during the meeting. That is why copying from subtitles is not the same as getting a transcript.
If the goal is to access a transcript after the meeting:
- Open the past meeting from the Teams calendar.
- Select Recap.
- Open the recording or transcript.
- If access is blocked, request access from that page or ask the owner to share it.
- To share a transcript or recording, the owner can open it in Stream and use Share.
If the missing option is specifically in meeting options such as Who can record and transcribe or Who has access to the recording and transcript, those settings are available only to users with Teams Premium or Microsoft 365 Copilot licenses.
