This usually happens when Files On-Demand is turned off, or OneDrive was reset/relinked and started downloading full copies again instead of keeping cloud placeholders.
Try this in order:
- Open the OneDrive cloud icon in the taskbar notification area.
- Select Help & Settings > Settings.
- Check whether Files On-Demand is enabled:
- If there is a Settings tab, turn on Save space and download files as you use them.
- If there is no Settings tab, go to Sync and back up > Advanced settings, then choose the Files On-Demand option that keeps files downloaded only when needed.
What the icons mean in File Explorer:
- Blue cloud = online-only file, not taking local disk space.
- Green circle with white check = always available on this device.
- A file opened from online-only status becomes locally available.
- To make a downloaded file online-only again, right-click it and select Free up space.
If OneDrive is already misbehaving or showing cloud-file errors, use this recovery path:
- Open OneDrive Settings.
- Turn off Files On-Demand temporarily:
- Settings tab: clear Save space and download files as you use them.
- Or Sync and back up > Advanced settings > Download all OneDrive files now.
- Reset OneDrive.
- Turn Files On-Demand back on if needed.
- Install all available Windows updates from Start > type updates > Check for updates.
If the goal is to stop OneDrive from pulling large amounts of cloud content onto the PC, turning Files On-Demand back on is the key step.
If files are being uploaded or moved from common folders like Desktop, Documents, or Pictures, check Manage backup in OneDrive settings and turn off backup for folders that should stay local.
