On Windows desktop Excel, save the workbook as a PDF this way:
- Open the workbook.
- Select File > Save As or Save a copy.
- Enter a file name if needed.
- In Save as type, select PDF (*.pdf).
- Optional:
- Select Open file after publishing to open it after saving.
- Choose Standard (publishing online and printing) for higher print quality.
- Choose Minimum size (publishing online) for a smaller file.
- Select Options if needed, then select OK.
- Select Save.
If Excel will not let the file save as PDF:
- Try saving a copy of the workbook with a new name, then export that copy to PDF.
- Try the same workbook in Excel for the web and export it there.
- If the problem continues, reinstall Office.
Important:
- When an Excel spreadsheet is converted to PDF, internal links in the spreadsheet are lost and need to be verified afterward. External links remain fine.
- PDF is useful for sharing and printing, but it does not guarantee the recipient cannot edit the file.
If using Excel for the web:
- Select File > Print.
- Under Printer, select Save as PDF.
- Select Save, choose the location, then select Save again.
