Based on my personal experience and research, I would view Microsoft 365 retention and recovery features as an important safety net, but not as a complete backup strategy.
While Microsoft provides capabilities such as retention policies, litigation hold, and deleted item recovery, these features are primarily designed for data retention, compliance, and in-tenant recovery. Organizations with disaster recovery requirements often prefer to maintain an independent backup copy outside of Microsoft 365.
For a true disaster recovery approach, I would recommend considering a dedicated Microsoft 365 backup solution that can:
- Back up Exchange Online mailboxes to a separate storage repository.
- Preserve folder hierarchy, attachments, calendar items, contacts, and message metadata.
- Support point-in-time recovery.
- Restore individual emails, folders, or entire mailboxes when needed.
- Maintain backup data independently from the Microsoft 365 tenant.
Solutions commonly used by organizations include products from vendors such as Veeam, AvePoint, Commvault, Rubrik, and Druva. Each offers different storage, recovery, compliance, and management capabilities, so the best choice will depend on your organization's requirements and budget.
From a best-practice perspective, I would also recommend:
- Storing backups in a location independent from the Microsoft 365 tenant.
- Encrypting backup data both in transit and at rest.
- Defining Recovery Point Objectives (RPO) and Recovery Time Objectives (RTO).
- Regularly testing restore procedures rather than assuming backups are recoverable.
- Including not only Exchange Online, but also SharePoint Online, OneDrive, and Teams if they are critical to business operations.
In short, if your goal is reliable disaster recovery with independent control of your data, a purpose-built Microsoft 365 backup solution is generally a more robust and scalable approach than manual mailbox exports or relying solely on retention features.
