Issue with ability to control who can respond on the "Send and collect Responses" screen associated with "Collect Responses" button in Forms

The help information indicates that when the "Collect Responses" button is pressed, the resulting "Send and Collect Response" screen in the top left area will present options of who will be able to send responses, how many times, and some potential edit capabilities.

When I push the "Collect Responses" button, I have no options. The top left area just displays: "Anyone can respond". So, either I am doing something incorrectly or I may need to purchase additional capabilities, or something. Can anyone help me with this situation, please?

    Hi, Mike Gusmus

This usually happens when the form is being made from a personal Microsoft account, not a work/school Microsoft 365 account. The “Only people in my organization can respond” and “Specific people in my organization can respond” choices are only available with Office 365 Education or Microsoft 365 Apps for business accounts, so a personal account may only show “Anyone can respond.”

Here are some suggestions you can try:

First, check which account you are signed into at Microsoft Forms. If it is a personal Outlook/Hotmail/Live account, that would explain why you only see “Anyone can respond.” To restrict responses to people in an organization, you would need to create the form while signed in with a work or school Microsoft 365 account.

If you do have a work or school account, sign out completely, open a private/incognito browser window, then sign in only with that account and open the form again. Sometimes Forms shows fewer options when the browser is using the wrong Microsoft account in the background.

Also open the form, select Settings, and check “Who can fill out this form” there as well, not only from the Collect responses window. The same response-control choices may appear in that area too.

If the form includes a File upload question, remove it temporarily and check the sharing options again. File upload questions can restrict what sharing choices are available, especially for external or anonymous responders.

If this is a company/school account and the options are still missing, it is recommended that the Microsoft 365 admin checks the Forms settings in the admin center, under Settings, Org settings, Microsoft Forms. Admins can control Forms sharing settings there.

Thank you for your patience in reading, I hope this information has been helpful to you.

I only have a microsoft 365 family account. I have had so many issues from not knowing which account I should be signing in with, to losing created forms in the cloud. Just not understanding the owner/security levels of the forms. Some how, I was able to find my lost form and had to use the "copy link" capability to send out my survey in my own email to my 56 condo unit owners, And have even collected 12 responses so far.
