Building and customizing solutions using Microsoft 365 Copilot APIs and tools
Effective prompts for Microsoft Copilot follow a few consistent principles across Word, Excel, PowerPoint, Teams, Power Automate, Fabric, and Copilot Studio.
Core best practices
- Use clear, English prompts
Copilot features work best in English. Write in plain, conversational English and avoid unnecessary jargon or symbols. - Be specific about the task and output
Avoid vague requests. Clearly state:- What Copilot should do (create, summarize, edit, transform, analyze).
- What the output should look like (length, format, audience, tone).
- Instead of:
Write about our product launch. - Use:
Create a 300-word executive summary of this /[document] focusing on risks, timeline, and key stakeholders, in a professional tone.
- Provide goal, context, expectations, and source
A strong prompt often includes four elements:- Goal – what output is needed.
- Context – why it’s needed or how it will be used.
- Expectations – structure, length, style, or audience.
- Source – which file, email thread, meeting, or data Copilot should use.
Goal: Draft a one-page proposal. Context: This is for a customer interested in upgrading to our premium plan. Expectations: Use a persuasive, but concise tone with bullet points for key benefits. Source: Base it on this /[presentation] and the notes in this /[document]. - Use action verbs
Clearly state the action: create, summarize, compare, transform, filter, highlight, rewrite, translate, analyze.- Excel/Fabric:
Create a report page that shows sales by region and filters to key accounts. - Teams:
Summarize the latest updates on [Project X] from this channel conversation in 5 bullet points.

- Structure the prompt thoughtfully
Order matters; later parts of the prompt are often emphasized more.- Put the instruction and key constraints clearly, often toward the end.
- If using specific files or sources, mention them explicitly.

- Use quotation marks for text operations
When asking Copilot to modify or replace specific text, put that text in quotes so Copilot knows exactly what to work on:-
Rewrite the paragraph starting with "Our Q4 performance" to be more concise and formal.

Use correct and relevant terms for each product:- Word/PowerPoint: section, heading, slide, bullet list, abstract, rationale.
- Excel/Fabric: table, column, measure, visual, filter, report page.
- Teams: chat, channel, meeting recap, summary.

Treat prompting as a conversation:- Start broad, then narrow down:

For Power Automate or Copilot Studio flows, this pattern gives better, more accurate results:-

- Be as specific as possible about triggers and actions.
- Mention connectors explicitly (Outlook, Teams, SharePoint, Forms, etc.).
- Use natural language as if explaining the flow to a colleague.

- Pay attention to punctuation, grammar, and capitalization.
- When switching topics, start fresh (for example, type “new topic” in chat experiences) so Copilot doesn’t mix contexts.
