Thank you for your question. I understand the confusion around how the draft and delegate features work together in Viva Engage. Currently, Microsoft Viva Engage does not support a native collaborative draft sharing or approval workflow between delegators and their delegate teams.
- Can a draft be shared for review/approval natively? No. Drafts and scheduled posts created by a delegate or delegate manager are private to the creator until they are officially published.
- Why doesn't it show under Drafts? According to official Microsoft documentation, delegators cannot see drafted or scheduled posts written on their behalf by delegates. Similarly, team members cannot view each other's unpublished drafts within the dashboard.
Since a native "Save and Send for Approval" feature does not exist inside Viva Engage yet, I recommend implementing one of these common operational workflows:
- The Microsoft Teams/Word Review Method: Have the delegate manager draft the post's text and media assets in a shared Microsoft Word document or a dedicated Teams channel loop component. Once the delegator reviews and approves it there, the delegate can copy-paste and publish it directly to Viva Engage.
- The "Post and Edit" Approach: If the delegator has a high tolerance for quick adjustments, the delegate can publish the post live. Once published, it instantly becomes visible to both the delegator and the delegate manager, who both possess full rights to immediately edit or delete the live post if changes are required.
