Is it possible to stop users from sharing meeting recordings but can share other items like files and word docs.

Hi Sydney,

Thank you for your query regarding the ability to restrict sharing of Microsoft Teams meeting recordings while still allowing users to share other files such as documents. 

At present, Microsoft Teams does not provide a dedicated setting to block the sharing of meeting recordings only. This is because meeting recordings are stored as standard video files in OneDrive or SharePoint, and they follow the same sharing permissions as other files within Microsoft 365. 

However, there are several effective workarounds that can help you control how recordings are shared while maintaining normal file-sharing capabilities: 

1/ Restrict sharing links in OneDrive and SharePoint 

You can limit how files (including recordings) are shared by: 

  • Disabling “Anyone with the link” sharing 
  • Restricting sharing to internal users only 

SharePoint Admin Center > Policies > Sharing 

This reduces the risk of recordings being widely distributed while still allowing controlled document sharing. 

2/ Configure Teams meeting policies 

You can also control who is allowed to create or manage recordings by adjusting meeting policies: 

  • Limit recording permissions to specific users 
  • Disable recording for certain groups (if required) 

Teams Admin Center > Meetings > Meeting Policies 

3/ Apply Data Loss Prevention (DLP) policies _(Advanced Option)_ 

Using Microsoft Purview, you can create policies to: 

  • Detect recording files (e.g., MP4 format) 
  • Block or restrict sharing, especially externally 

This offers more targeted control over recordings while allowing other file types to remain shareable.

    Thanks for the feedback. Just to confirm, option one will still allow users to share files such as PDFs, Word documents, etc.?
