Title: New Outlook for Windows cannot retrieve calendar events for people in organizational/team structure

Hello,

I would like to report an issue with New Outlook for Windows.

In our organization, users can see people from their organizational structure, including managers and other team members, in the calendar view. Previously, it was possible to select these calendars and check availability/calendar events. However, this has stopped working in New Outlook for Windows.

When selecting calendars for people from the organizational/team structure, for example a manager or other colleagues, New Outlook displays the following error:

“We can't retrieve your calendar events right now. Please wait a few minutes, and try again.”

The same issue also occurs for people who were manually added to a user’s own team/calendar group. In some cases, the same person/calendar appears under more than one section, such as the user’s own team and the manager’s team, but selecting the calendar in New Outlook still results in the same error.

This issue is reproducible for multiple users in our organization, so it does not appear to be a single-user issue or a problem with a single Outlook profile/device.

The important point is that this issue does not occur in other Outlook clients:

  • Outlook on the web: works correctly

Classic Outlook for desktop: works correctly

New Outlook for Windows: fails with the error above

Because the same calendars and permissions work correctly in Outlook on the web and in classic Outlook, this does not appear to be a calendar permissions issue. It seems to be related specifically to the New Outlook app and how it handles calendars for people from the organizational structure/team calendar groups.

Environment:

App: New Outlook for Windows

OS: Windows 11

Account type: Microsoft 365 / Exchange Online

Affected area: Calendar

Affected calendars: people from organizational structure, manager/team calendars, and manually added team members

Scope: reproducible for multiple users in the organization

Steps to reproduce:

  1. Open New Outlook for Windows.
  2. Go to Calendar.
  3. Expand the team/organizational calendar group.
  4. Select a calendar for a manager or team member.
  5. New Outlook shows the error: “We can't retrieve your calendar events right now. Please wait a few minutes, and try again.”

Could you please confirm whether this is a known issue in New Outlook for Windows, and advise if there is any workaround or planned fix?

    At the moment, I haven’t seen any official communication confirming this as a known issue in New Outlook for Windows. Given that the behavior is reproducible across multiple users in your organization and works correctly in other clients such as Outlook on the web and classic Outlook, this suggests that a more in-depth investigation would be required to fully understand what is happening in your specific environment.

    In this case, I would recommend asking your IT Admin to create a support request through the Microsoft 365 Admin Center, so that the support team can take a closer look from the backend.

    We're seeing the same issue. It seems to be a mix between the following settings

    • "Show teammates' calendars"
    • shared mailboxes that are converted to behave as account** (especially if the shared mailbox has the "Show teammates' calendars" turned on)
    • "Allow offline access to email, calendar, and people" option.

    We have noticed that the issue is often resolved if "Show teammates' calendars" is turned off and None of the users shared mailboxes are converted to behave like an account (all shared mailboxes only behaving as a shared folder). But, Shared mailboxes that aren't converted to behave like an account are practically useless and unusable, so most users have decided to use OWA for the calendars they can't access rather than change their shared mailbox settings. We have a ticket in with Microsoft for this issue but that ticket is still being worked.
