We have recently set up our M365 Business Basic site with individual logins for our 3 trustees/members. We have found a way to share our main email account but have not found a good way to store files and folders in one communal shared place. I looked at help screens and it suggested this be done through Groups which I have tried but I still ahven't found a satisfactory way to share both existing files and new content. Can you advise please.

Hi John,

Good day and thank you for your clear description of the situation.

From your message, I understand that you are looking for a practical way to share both existing files and new content in a single, communal location that all trustees can access easily. As the exact setup or preferences may vary, I will outline the commonly used options in Microsoft 365 so you can consider what may work best for your organization.

With that in mind, here are a couple of approaches you may consider:

1/ Using Microsoft Teams

Microsoft Teams can provide a simple and user-friendly way to manage shared files in one place by creating a Team, adding your trustees as members, and then using its channel to store and share content.

To do this:

Sign into Microsoft Teams in your browser > Chat > Expand the arrow next to "New message" button > New team

In the creation process, you will be asked to give your Team a name and a channel name. After that, you can add your members to the Team.

Once the setup is complete, you may use the “Post in channel” option to upload and share documents with all members in one place.

2/ Using SharePoint

SharePoint is the underlying system designed for shared document storage across an organization and may offer more structured control by allowing you to create a central site and organize files into libraries and folders.

To access SharePoint: In Teams > select the 9 dots > SharePoint
