Using Classic Outlook on Windows for personal email, calendar, and contact management
Classic Outlook showing “Connected to Microsoft Exchange” but not updating usually indicates either:
- the account is added with the wrong account type, or
- the local cache/profile is not correctly tied to the real Exchange mailbox.
Use these steps focused on classic Outlook for Windows:
- Confirm the correct account type
If the mailbox is an Exchange/Office 365 mailbox, it must be added as an Exchange/Microsoft 365/Outlook.com account, not as POP/IMAP. If the account was added as IMAP or POP, remove it and re‑add it using automatic setup so Outlook discovers it as an Exchange/Microsoft 365 account. If existing messages and folders from the online mailbox are not appearing, verify the account type is correct for the address:- For a Hotmail.com/Live.com/Outlook.com address, the account type must be Outlook.com, not Exchange or Microsoft 365.
- If the wrong type is used, Outlook may connect but not sync the real mailbox.
- Recreate the Outlook profile cleanly
Since the profile is pulling in an old archive instead of the live mailbox, create a fresh profile so Outlook builds a new cache from the server:- Close Outlook.
- Open Control Panel → Mail → Show Profiles….
- Select the existing profile and choose Remove (this does not delete server data, only the local profile). If there is important local‑only data (e.g., old PST archives), back those up first.
- Click Add…, name the profile, and let the automatic account setup add the Exchange/Microsoft 365 account with the correct type.
- Start Outlook and choose the new profile.
If, after confirming the account type and recreating the profile, classic Outlook still does not sync while Outlook on the web shows new mail, use the general troubleshooting flow under “I can't send or receive messages in Outlook – Classic Outlook” and, if needed, escalate via the Outlook support channels referenced there.
