My Microsoft account is showing up "view only" all of a sudden

Last week, my Mac was messing up, so I logged out of Microsoft and restarted my entire Mac. When I went to log in again, I got an error message that my account can only view documents. This is not true, as I have always been able to create/edit documents from my home Mac. My account is through my school district, and they have made it available for us teachers to be able to create documents from home. How can I get Microsoft to work on my home laptop again?

    Hi Travers, Lindsey

I understand how unexpected it can feel when your account suddenly shows “view only.”

First, I recommend taking a moment to check whether your account still has an active subscription that supports the desktop apps, such as "The latest desktop version of Office". You can review this directly at https://portal.office.com/account/?ref=Harmony#subscriptions

If your account still shows the correct license, then it may help to remove the Office license from your Mac and activate it again, as mentioned in the AI response.

For detailed steps, please refer to: https://support.microsoft.com/office/how-to-remove-office-license-files-on-a-mac-b032c0f6-a431-4dad-83a9-6b727c03b193image

I hope this brings additional insight.

The account is most likely signed into the Mac apps with a license that only allows viewing (or no valid desktop license is being detected), even though the school account should allow editing. Use these steps to restore full editing on the Mac.

    1. Confirm the correct (school) account is signed in
      1. Open Word on the Mac.
      2. Select the name/profile icon at the top.
      3. Choose Sign out of all accounts.
      4. Quit Word, then reopen it.
      5. When prompted, select Sign In and sign in using the school district work/school account (not any personal Microsoft account).
      6. Try creating or editing a document again.
    2. Have the school admin verify the license Because the account is provided by the school district, an education or Microsoft 365 admin may need to:
      1. Go to the Microsoft 365 Admin CenterUsersActive users.
      2. Open the teacher account.
      3. Under Licenses and Apps, confirm that a license that includes desktop Office apps is assigned.
      4. If it is already assigned, uncheck it, Save changes, then re‑check it and Save changes again to refresh the assignment.
      5. After this, sign out and back into Office on the Mac again as in step 1.
    3. Remove old/incorrect license files from the Mac If the apps still show “view only,” clear cached license data:
      1. Follow the steps in How to remove Office license files on a Mac to run the Mac license removal tool.
      2. After removing the license files, open Word again.
      3. Sign in with the school account when prompted and let Office reactivate.
    4. Reinstall Office for Mac if needed If editing is still blocked after the above:
      1. Uninstall Office for Mac completely using the steps in Uninstall Office for Mac.
      2. Install Office again using the school’s instructions or portal.
      3. Open Word and sign in with the school account to activate.

If the school has recently changed plans (for example, to a plan that only includes web and mobile apps), the desktop apps on the Mac will switch to view‑only. In that case, the school admin must assign a plan that includes desktop apps for editing to work again.
