Manage ringtones on multiple devices from multiple call groups

Hello,

I would like to manage ringtones or which devices I receive calls on depending on where they are incoming from i.e incoming from call groups to go to one device only and incoming personal calls to come to multiple (or failing that a different device).

I have Teams installed both on my phone and my laptop and receive calls to my personal account and via call groups. I need access to both of these at different times depending on working at or away from my desk.

What is very frustrating is when calls ring on both devices at the same time (group calls also will continue to ring until answered elsewhere if I decline). I may have my headphones connected to my laptop and volume on my phone and ringtones coming from everywhere which does my head in.

The ideal would be if I could have incoming group calls only call on my laptop so that if I'm at my laptop I can answer but if I'm away from my laptop they don't come through but calls to my personal teams still come through to my phone.

I appreciate there may be suggestions of non-technical practical solutions (toggling phone on/off DND, logging on/off group calls etc) however due to the dynamic nature of my work, these are not practical and a technical solution would be vastly preferable.

I hope this makes sense. Any support would be greatly appreciated.

I completely understand how frustrating this experience can be, especially when you’re switching between desk and mobile working. 

At the moment, Microsoft Teams does not support selective routing of calls to different devices based on the call source (for example, sending call group calls only to your laptop while allowing personal calls to ring on both your phone and laptop). 

In Teams, incoming calls whether they are: 

  • Direct (personal) calls 
  • Call group / call queue calls 

will typically ring on all signed‑in devices at the same time. There isn’t a built‑in setting to distinguish between these call types and route them separately to specific devices. 

I also want to say that your suggestion makes a lot of sense. Being able to route different types of calls (such as call group vs personal calls) to specific devices would significantly improve call management and help avoid situations where calls are ringing simultaneously across multiple devices, creating confusion or disruption. This would be a very useful enhancement for many users in dynamic work environments. 

The best way to request this capability is to submit feedback directly to Microsoft so the product team can review and evaluate the suggestion. This is the most effective path forward, as the Microsoft Teams product team actively monitors customer feedback, and many features and product improvements are driven by customer suggestions.

    Teams does not provide per-call-group device routing or ringtones that differ by endpoint. All incoming calls (personal, call queue, or group) ring all signed-in Teams endpoints for that account according to the user’s call settings, and ringtone selection is per device, not per call source.

    From the available settings:

    1. Per-device ringtones only
      • Ringtones in Teams can be customized per device, but not per call group vs personal calls.
      • On each device:
        1. Select Settings and more (… next to profile picture).
        2. Go to Settings > Calls.
        3. Under Call handling and forwarding, use Choose a ringtone to set the ringtone for normal and forwarded calls on that device.
      • These ringtone choices apply to that device only and do not distinguish between group calls and direct calls.
    2. Secondary ringer behavior
      • On desktop, if multiple audio devices are connected, a secondary ringer can be configured so that more than one audio device rings for the same incoming call.
      • This is still per-device and per-audio-device, not per call group.
      • To change this, on the desktop client:
        1. Go to Settings and more > Settings > Devices.
        2. Under Audio settings, choose the default speaker and mic.
        3. If multiple certified devices are connected, select a secondary ringer so that both the default and secondary device ring.
    3. Multiple devices signed in
      • When the same account is signed in on multiple devices (for example, desktop and mobile), Teams rings all those endpoints for incoming calls based on the account’s call settings.
      • There is no supported configuration in the provided documentation to restrict call queues or group calls to only one device while allowing personal calls to ring multiple devices.

    Given the documented capabilities, the scenario described (group calls only on laptop, personal calls on both laptop and phone) cannot be implemented purely through Teams call/ringtone settings.
