Using New Outlook on Windows for personal email, calendar, and contact management
The most likely causes are:
- A rule or sweep action moving/deleting messages
- Even if no rules are visible in the Outlook client, there may be rules or Sweep rules configured in the mailbox that move items out of folders.
- In Outlook.com / Outlook on the web, go to Rules settings and review all rules. If any rule is moving or deleting messages unexpectedly, edit or delete it.
- Also check for any Sweep actions that might be set to automatically delete or move messages from specific senders.
- Messages being Ignored (conversation Ignore feature)
- If Ignore was used on a conversation, Outlook will automatically move all current and future messages in that thread to Deleted Items.
- This applies even if the messages are moved to another folder; new messages in the same thread are delivered directly to Deleted Items.
- To stop this, locate a message from that conversation in Deleted Items, select it, and choose Stop Ignoring (in Outlook clients that expose this command). After that, new messages in that thread will no longer be auto‑deleted.
- Deleted Items being emptied automatically
- If messages are being moved to Deleted Items and then that folder is emptied automatically, it can look like they are “disappearing.”
- In Outlook for Windows, check File > Options > Advanced and see if Empty the Deleted Items folder upon exiting is enabled. If it is, Outlook will permanently delete anything in Deleted Items when Outlook is closed.
- In Outlook.com, check Settings > Mail > Message handling and see if Empty my deleted items folder is enabled when signing out.
- Junk or Archive folders
- Check Junk Email and Archive folders to ensure messages are not being moved there by rules, Sweep, or junk filtering.
Recommended steps:
- In Outlook on the web, review:
- Rules settings for any Inbox or Sweep rules that move or delete messages.
- Any unexpected forwarding or filters at the service level.
- In Outlook for Windows:
- Check File > Options > Advanced for automatic emptying of Deleted Items.
- In the mailbox:
- Search for one of the “missing” messages across All folders, including Deleted Items, Junk Email, and Archive to see where they are ending up.
- If messages from specific threads are always disappearing, verify that the Ignore feature has not been applied to those conversations and stop ignoring them if necessary.
If, after these checks, messages are still disappearing from only certain folders and cannot be found in Deleted Items, Junk, or Archive, contact support so the mailbox can be checked for hidden rules or server‑side processing.
