I have been in the feedback loop of death. I have tried customer support all day, received the call and was on hold for 40 minutes so I had to get off. I keep requesting to have a chat but it automatically says they will call me. They aren't.

After avoiding Outlook for the better part of a decade, I have taken the plunge. It will add an email account and says that I may need a password app. I am supposed to get that from my provider. That is spectacularly unhelpful. What does that even mean? If it is a Gmail account I am supposed to figure out how to contact them and ask for this? Given the meager information am I to understand this is a one-time very temporary password? I have wasted hours on this and am getting nowhere and am about to bail.

(to add to the sense that everything is broken, I clicked on the appropriate tag and it isn't added but I can't post without it - more feedback loop of death)

“Password app” in this context actually means an app password, not an application you install.

An app password is a special, randomly generated password that some email providers require when connecting accounts (like Gmail, iCloud, Yahoo, AOL, etc.) to Outlook using IMAP/POP or older authentication methods. It is separate from the normal account password and is often used when:

  • Two‑step/two‑factor authentication is turned on for the email account, and
  • The email provider considers Outlook a “less secure” or “third‑party” app.

Key points:

  1. It comes from the email provider, not from Microsoft/Outlook.
    • For Gmail, iCloud, Yahoo, etc., the app password is created in that provider’s security settings page (for example, Google Account security, Apple ID page, Yahoo security page).
    • Outlook just uses whatever app password the provider generates.
  2. It is usually a one‑time setup password for that app/device.
    • The provider generates a long, random password (often 16 characters).
    • That password is entered once in Outlook when adding the account.
    • Outlook then saves it and continues to use it; it is not something that must be typed every time.
  3. Why Outlook says “you may need an app password”:
    • When adding an account in new or classic Outlook, if the correct normal password is entered but the provider requires an app password, Outlook cannot complete setup and shows a message like:
      • “Please create an app password for Outlook on your email provider’s site.”
    • This is expected behavior for some IMAP/iCloud/other third‑party accounts.
  4. What to do for a Gmail account (conceptually):
    • Go to the Gmail/Google Account security page.
    • Follow Google’s instructions to generate an app password for “Mail” or “Outlook” on the device.
    • Copy that app password and paste it into Outlook when prompted for the account password.
    • After that, Outlook should connect using the app password instead of the normal Google password.
  5. What to do for iCloud or Yahoo accounts:
    • iCloud: Use an app‑specific password created from the Apple ID site, then paste that into Outlook when adding the account.
    • Yahoo: Depending on the Outlook build/channel, either an app password or OAuth sign‑in is used. Newer Outlook builds support OAuth for Yahoo, so the normal password and sign‑in flow may be enough.
  6. If automatic setup fails in classic Outlook:
    • Classic Outlook may fail automatic setup if an app password is required.
    • In that case, use File → Add Account → Advanced options → Let me set up my account manually → POP or IMAP, and then enter the app password in the password field.

So, “password app from my provider” really means: go to the email provider’s account/security page, generate an app password, and use that long, generated password in Outlook instead of the normal account password when adding the account.

This part of the AI answer comes close:

    • Go to the Gmail/Google Account security page.
    • Follow Google’s instructions to generate an app password for “Mail” or “Outlook” on the device.
    • Copy that app password and paste it into Outlook when prompted for the account password.
    • After that, Outlook should connect using the app password instead of the normal Google password. But is incomplete. You don't go to the security page, you go to help, to the left of your profile
    • Then enter account password
    • Then it will require 2 step verification after you select "manage and create"
    • Once it does create one, you can copy that, return to the Outlook page where a password was requested, paste it and after answering a few invasive questions it should complete the addition of that account.
