Displaying your screen content to others during a Teams meeting or call
In a Microsoft Teams for Education meeting, the tutor can share files by sharing the screen or by sharing the file directly in Teams. To see the file on the screen during the meeting, the tutor should:
- In the meeting, select Share content on the meeting toolbar.
- Choose how to present:
- Desktop to show the whole screen and switch between apps.
- Window to show only one app (for example, Word or PowerPoint).
- PowerPoint to present a slide deck so students can view the slides. The tutor can control the slides or let students move through them.
- Whiteboard to show a collaborative canvas.
- When finished, select Stop presenting.
If the tutor wants to share the file itself (so it can be opened later, not just viewed on the screen), they can:
- Go to the class channel (for example, General), select Start a post > Attach and upload the file. It will appear in the Posts thread and in the Files tab.
- Put important, read‑only documents (like syllabus or rules) in the Files tab > Class Materials folder so students can open but not edit them.
If the tutor follows these steps and the file still does not appear on the screen, they should confirm they selected the correct Desktop/Window/PowerPoint option and that the meeting is running in Microsoft Teams (not another app).
