Using Classic Outlook on Windows for personal email, calendar, and contact management
For non-Exchange accounts in classic Outlook (such as POP3, IMAP, Outlook.com, or other Exchange ActiveSync accounts), deleted items behave differently from Exchange accounts and do not use the “Recover Deleted Items from Server” feature.
- Where the deleted emails go
- When an item is deleted in a non-Exchange account, it is moved to that account’s Deleted Items (or Trash) folder.
- When the Deleted Items folder is emptied for POP3, IMAP, Outlook.com, or other Exchange ActiveSync accounts, the messages are permanently deleted and cannot be recovered via the “Recover Deleted Items from Server” command.
- The Recover Deleted Items feature and the hidden Recoverable Items folder are only available for some Microsoft Exchange Server accounts and only if the admin has enabled that capability.
- Why “Recover Deleted Items” is greyed out
- The menu command Recover Deleted Items from Server appears only for folders in an Exchange mailbox that supports server-side recovery.
- For non-Exchange accounts, Outlook does not have a server-side Recoverable Items store, so the command is disabled (greyed out) for those folders.
- How to access deleted emails (if needed)
- For non-Exchange accounts, the only place to retrieve deleted emails is the account’s Deleted Items (or Trash) folder, as long as it has not been emptied.
- If the message is still in Deleted Items, it can be restored by dragging it from Deleted Items to another folder.
- Once Deleted Items has been emptied for these account types, the messages are permanently gone and cannot be recovered through Outlook’s recovery tools.
In short, for non-Exchange accounts there is no separate “recover deleted email” store beyond the Deleted Items/Trash folder; once that folder is emptied, the items are not recoverable via Outlook.
