Troubleshooting depends on the environment, but the most common current cause is that Word cannot hand off the merged messages to the email client because New Outlook for Windows is being used or MAPI is otherwise unavailable.
Try these steps in order:
- Check which Outlook is in use
- If using New Outlook for Windows, mail merge to email is only partially supported and often results in no emails being sent even though the merge appears to complete.
- Switch back to Classic Outlook using the toggle in the top-right of Outlook (or via the Help menu), then retry the mail merge.
- Confirm Outlook is the default mail client
- Ensure Outlook (Classic) is set as the default email application in Windows and that the same Microsoft 365 account is signed in to Word, Excel, and Outlook.
- If using Windows 7 / Windows Server 2008 R2 with Word 2010/2007/2003
- Mail merge to email may fail for plain text or attached messages (no recipient is set).
- Work around this by sending as HTML format:
- Open the mail merge document in Word.
- Go to Mailings → Start Mail Merge → E-Mail Messages.
- Choose Select Recipients and pick the address source.
- Choose Finish & Merge → Send E-Mail Messages.
- Enter a subject, select HTML in Mail format, choose the records to send, and select OK.
- If Skype for Business 2016 Basic is installed with Office 2010/2013 MSI
- Mail merge may stop working because Skype for Business 2016 Basic creates an Office 2016 registry key without the required Mso.dll.
- Workarounds:
- Upgrade all Office apps to Office 2016, or
- Remove the registry key
HKEY_CLASSES_ROOT\TypeLib\{2DF8D04C-5BFA-101B-BDE5-00AA0044DE52}\2.8(only if comfortable editing the registry and after backing it up).
- If sharing/merge shows MAPI failures
- A “MAPI failure” or “Unable to share” error from Word/Excel/PowerPoint typically indicates New Outlook is set as default. New Outlook is not MAPI-compliant and cannot be used for mail merge or direct send from Office apps.
- Set Classic Outlook as the default mail client and retry.
If the issue persists, provide details such as Windows version, Office/Word version, Outlook type (New vs Classic), and any error messages to narrow down further.
