I have an Office 365 Family subscription but I am unable to upload images or files through the Copilot prompt

When using Word, Excel or PowerPoint, I can open the Copilot prompt but when I attempt to select the option to upload an image or file, the option is grayed out and mouseover changes the pointer to a red stop icon (ø). This is a personal account; not an organization account so, as far as I know, I have no option to change group policies.

The upload option in Copilot can be disabled when Copilot cannot properly validate the license or when the Microsoft 365 apps are not fully recognizing the Copilot entitlement on the signed-in account. For a personal Microsoft 365 Family subscription, the following steps typically restore full Copilot functionality, including file/image upload:

    1. Confirm the correct account and license
      • In Word/Excel/PowerPoint, check the account shown at the top-right of the window (or under File > Account).
      • Ensure that this is the personal Microsoft account that actually has the Microsoft 365 Family subscription and Copilot entitlement.
      • If more than one account is signed in (for example, a work/school account plus a personal account), sign out of the non‑subscribed account and leave only the subscribed personal account signed in. Licensing or account conflicts can prevent Copilot from validating correctly.
    2. Refresh the Office/Copilot license
      • On Windows desktop apps:
        1. Open any Microsoft 365 app (Word, Excel, or PowerPoint).
        2. Go to File > Account.
        3. Select Update License.
        4. Close all Microsoft 365 apps and reopen them.
      • On Mac desktop apps:
        1. Open Word, Excel, or PowerPoint.
        2. From the menu bar, select Word (or Excel/PowerPoint) > About Word (or About that app).
        3. Select More Info....
        4. Select Refresh License.
        5. Close all documents and restart the apps.
    3. Make sure Copilot is enabled and privacy settings allow it
      • On Mac (if applicable):
        1. Open Word.
        2. Go to Word > Preferences > Privacy.
        3. Ensure Experiences that analyze your content is turned on.
        4. Scroll down and ensure All connected experiences is turned on.
      • If these are off, Copilot features (including upload) can be unavailable.
    4. Check for license validation issues in the browser
      • If the upload option is also disabled in Word/Excel/PowerPoint on the web:
        • Refresh the page.
        • If third‑party cookies are blocked in the browser, enable them and try again. Copilot can fail license validation when third‑party cookies are blocked, which can disable features.
        • If a banner or error appears such as “We encountered a problem validating your Copilot license,” follow the guidance in the license‑validation article, including confirming sign‑in with the correct account.
    5. Verify file location and permissions when uploading documents
      • For file uploads to Copilot:
        • Ensure the file format is supported (for example, .docx, .xlsx, .pptx, or .pdf as described in the supported formats guidance).
        • Ensure the file is in a supported location (uploaded or cloud‑hosted; local paths are unsupported for some Copilot experiences).
        • Confirm that there is permission to the file; restricted access can block uploads.
    6. If the issue persists
      • After confirming the correct account, refreshing the license, enabling required privacy/connected experiences, and allowing third‑party cookies in the browser, if the upload option remains grayed out, contact Microsoft support so they can check the Copilot entitlement on the subscription and any backend licensing issues.
