Use the built-in PDF export in Word for Microsoft 365 on macOS and, if needed, try the available workarounds when it fails.
- Basic “Save as PDF” in Word for Mac
- Open the document in Word.
- Select File.
- Choose Save As (or Save a copy).
- At the bottom of the dialog, open File Format.
- Select PDF.
- Choose the save location (local folder or OneDrive) and select Save.
- If saving directly to OneDrive creates problems
There is a known issue where saving as PDF to an online location (such as OneDrive) can result in a
.docxinstead of a.pdf. Workarounds:- Save locally first:
- In File > Save As, choose a folder on the Mac (e.g., Desktop) and save as PDF.
- After it is created correctly, upload that PDF to OneDrive.
- Or, if a file on OneDrive is saved with the wrong extension:
- In Finder, rename the file and change the extension from
.docxto.pdf.
- In Finder, rename the file and change the extension from
- Save locally first:
- Alternative: Export via Word for the web
If the desktop app continues to fail, try converting via the browser version:
- Upload the Word document to OneDrive (if it is not already there).
- Open the document in Word for the web.
- Select File > Print > Print.
- In the browser print dialog, choose Save as PDF as the printer.
- Select Save, choose a location, and save the PDF.
- Alternative export path from Word (desktop)
Another supported method is using the export command:
- Open the document in Word (desktop).
- Go to File > Export.
- Choose Create PDF/XPS Document > Create PDF/XPS.
- Select a save location (local folder or OneDrive).
- Optionally select Options… to adjust PDF settings.
- Select Publish.
If none of these paths work, test with a very simple new document (e.g., a one-line file) using the same steps. If a simple file also fails, the issue is likely with the Word installation or macOS environment rather than the specific document.
