Outlook distribution or contacts list generating error addressees in parenthesis

When I create a contacts or distribution list, some of the addressees show up as an email address with their name in () afterwards - when using the list in outlook a send error is generated until I remove the parenthesis. Why is this happening and how to prevent in future?

This behavior is typically caused by broken or malformed Outlook contact entries that were originally created from the Global Address List (GAL). When those contacts are later used to build a Contact Group (distribution list), Outlook may store or display them with an internal Exchange identifier or altered address format, which can lead to send errors until the bad entry is removed or corrected.

To fix existing problematic entries and prevent future issues:

    1. Fix or recreate the underlying contacts
      • Open the contact that appears incorrectly in the Contact Group (for example, shows an odd address format or causes send errors).
      • Delete that local contact from the Outlook Contacts folder.
      • Recreate it directly from the Global Address List (GAL):
        1. Open the Address Book in Outlook.
        2. Select the Global Address List.
        3. Find the person.
        4. Right‑click the entry and select Add to Contacts.
      • This ensures the contact has a correct, clean address entry.
    2. Repair the Contact Group (distribution list)
      • Open the affected Contact Group.
      • Add the newly fixed contact(s) back into the group.
      • Optionally, leave the old/broken entries in place temporarily so they can be compared.
      • Once all fixed contacts are added, remove the problematic entries (those that previously caused send errors).
    3. Best practice going forward
      • When building new Contact Groups, add members directly from the Global Address List rather than from older or imported local contacts.
      • If a contact was originally created by right‑clicking an address in an email and choosing Add to Outlook Contacts, and it later misbehaves, delete and recreate it from the GAL as above before using it in a group.

Following this pattern prevents Outlook from using broken internal identifiers and avoids the send errors you are seeing when addresses appear in a non‑standard format.
