How to automate data refresh on external data linked to shapes?

Use Case:

We develop a template for our coworkers. Requirement, it has to be as simple as possible to use. Our diagrams are very business specific. Therefore we just using the stand Data Wizard with an Excel and match the rows manually to the shapes. We created a row in excel which generates a global UID.

Problem - UID:

It's a kind of random what Visio selects as UID column. This leads to a chaos if initially not properly set after first refresh. Conflicts keep appearing. The risk of accidentally re-assigning wrong shapes increases. On top of it there seems to be an error once linked shape will get automatically re-linked after a refresh unless you really delete them and recreate them from scratch. For beginner Visio users is this too complicated and frustrating.

Solution Finding - UID:

Is there a kind of static name of naming a column to ensure Visio is recognizing this reliably as UID column? This could mitigate the problematic mostly. Or even any better idea how to increase the level of automation?

Problem - Autolink After Refresh:

This costed me more than days of nerves until I found the cause. After refresh it was a kind magical on how Visio stated to link additional shapes. It appears it tries to re-link in the past unlinked shaped. However, the logic is still unclear and cumbersome.

Solution Finding - Autolink After Refresh:

We only have stencil files and the excel as template. It is by design of our templates to have the minimum number of template files to reduce complexity. Additionally, it brings the benefit a freshly created Visio drawing autofills the file author correctly and reliefs the drawing from history burden of settings and ghost shapes (hidden structures) due a clean green starting point.

Addon Note: Using VBA is not an option do security concerns.

    You’re right to focus on a stable key column - that’s the only way to prevent Visio’s refresh from “guessing” row/shape matches. In practice, the safest pattern is: (1) create a dedicated UID column in Excel that never changes once a row is linked, (2) ensure the source range is an actual Excel Table (not just adjacent columns), (3) when you first link data, explicitly set the key/unique identifier to that UID column, and (4) if the wrong key was chosen initially, it’s often faster to rebuild the link from scratch (because Visio stores the row–shape mapping based on the first key). If teammates are manually dragging rows to shapes, make the UID visible in the shape data or in a small text field so they can visually confirm they’re linking the correct row before refresh.

    Visio does not automatically recognize column names as the unique identifier. There is no reserved column name that Visio recognizes for this purpose. Instead, Visio relies on the unique identifier (key column) explicitly selected during the initial data-link setup.  

    If a key column is not defined at the time of the initial link, Visio falls back to undocumented internal matching behavior. Since Microsoft does not publish how this fallback works, the results can appear unpredictable during refresh such as incorrect shape updates or unintended relinking. 

    To ensure stable and predictable data refresh behavior, you should always define a stable, immutable unique identifier before linking:

    In Excel:

    -Add a dedicated UID column in Excel whose values are unique and never change once the data is linked.  

    -Convert your range to an Excel Table and keep column names stable. 

    In Visio:  

    -Go to Data > Link Data to Shapes and select your Excel table. 

    -When prompted, set the Unique Identifier (key column) to your UID column. 

    -After linking, the selected key can be reviewed under External Data > Configure Refresh.

    Visio does not reliably support changing the key after the initial link. If the wrong key column was selected, the most reliable fix is to recreate the diagram, because row–shape associations are established during the first import.

    To minimize unintended relinking, avoid drag‑and‑drop linking behaviors that rely on automatic matching and ensure UID values remain stable so Visio can match updated rows consistently.

    If the UID changes, or if no UID is defined, Visio cannot reliably match rows to shapes during refresh. This may result in inconsistent or unexpected updates.
