Annotation Toolbar Bugs and Dysfunctionaliry during Lecture

After recent 2025 updates to Microsoft PowerPoint for iPad, the annotation toolbar in Presenter Mode has changed behavior. Previously, the write and erase icons remained permanently fixed at the top of the screen while presenting with the Apple Pencil. Now, the toolbar is hidden by default and must be brought up with a swipe or tap gesture, which is inconsistent and buggy—often times failing to appear and interrupting the flow of a live presentation significantly.

This change significantly disrupts teaching and live lecturing workflows. I annotate slides during projection (via USB-C) and rely on instant access to writing and erasing tools. The new gesture-based system adds latency and unpredictability that is untenable.

Environment:

  • Device: iPad 10th Gen (tested with Apple Pencil 2)
  • iPadOS: 18.3.1
  • PowerPoint for iPad: versions 2.102.4
  • Presentation Mode (external display via USB-C)

Restoring the option to pin or lock the annotation toolbar at the top of the screen during Presenter Mode—like in earlier versions of PowerPoint for iPad—so the pen/eraser icons remain visible and accessible at all times is essential for me to do my job.

Current Workarounds Tried:

Updating PowerPoint and iPadOS

    I would describe this as a partial fix. Frequently, it will work as described, but the tap gestures are far touchier than other gestures and have made lectures truly maddening. Additionally, I must add that this is a 'fix' to a manufactured problem. A permanently affixed toolbar seems plenty modern to me and this update has made the product less functional and less usable.

    The issue that you reported relates to the annotation toolbar in Presenter Mode after the recent update. The toolbar now hides by default and requires gestures to appear, which can disrupt live lectures.  The update was designed to maximize slide space by auto-hiding controls. Gesture detection can sometimes fail when using Apple Pencil with an external display, causing delays in showing the toolbar. 

    Below are some workarounds that suit for your situation: 

    1/ Firstly, activate the Apple Pencil double‑tap functionality for improved usability.  

    • Go to Settings > Apple Pencil and set Double‑Tap to “Switch between current tool and eraser” for quick toggling without the toolbar. 

    2/ Next, utilize accurate tap gestures for optimal performance and responsiveness. 

    • While presenting, tap once at the top center of the slide with Apple Pencil and pause briefly. Repeat if needed. This is more reliable than swiping. 

    3/ After that, mirror the iPad display to the designated screen or device.  

    • Switch from extended desktop to mirroring in Display Settings. This keeps toolbar behavior consistent with the iPad screen. 

    4/ Since your account is managed by your school, you can reach out to your school’s IT department for assistance. If the issue cannot be resolved internally, your IT administrator can submit a support request directly to Microsoft for backend assistance.
