Student Progress Database Application

Hello everyone!

I want to make an application for keeping track of students’ progress marks each month of the year using Access 2010. Suppose I have 10 literacy centers in 10 different locations each with 35-40 students enrolled. I want to generate a monthly Access  report showing the progress of each student in each of the subjects taught.

I have designed forms for entering details of each center, instructor and student saved in separate tables. All I need to do is find a way to generate month-wise students’ progress reports for each of the 10 literacy centers to be handed over to the center manager.

What would be the best way this could be done using Access 2010?

    Hi

    I'm having an extremely hard time understanding your instructions in the last paragraph. I fiddled with the tables and queries the whole day and still cant do it right.

    *Now, you can pre-populate all the records if you want.*What you want to do is create a query that returns all the student in a Center. Add the Course table without a join. This should give a listing of all the students with one record per course (so each student would have 4 records.) You would then add a column for the month and turn it into an Append query. When you run that query it should add a record so you can enter the marks.

    Firstly, how would you populate the sub form with all the students from a particular query? This can be done when the user makes a choice from the center combo box.  The how would you add a Course table without a join to the query? Finally, like I said earlier, I did not want to add one record at a time for one student, I wanted the sub form to populate with students and then just go ahead and add the marks. This is all so confusing at this stage. This is taking more time than I expected. Do you want me to mail you the database and you have a look at it? If you do want to have a look, please let me know how to send it to you.

    Ok, there may be a issue of terms here. When I talk of the grade, I am referring to the score earned by the student for that course for that period. In your table it is called Grade. But it can be called score, marks, or whatever. You referred earlier to "in Mathematics scores 72/100", so this would be the 72.. If the field in the table named Grade is not for this value, then add a field for it and add a control bound to it. 

    And by the way, we use grade in both ways. It could refer to a score on a test or for a course or it could refer to a level of education.

    Okay, I just can't seem to wrap my head around this thinking of storing records in tables and not in fields. I think I'm confused now. What I have on the second sub form are 4 controls wiz. CenterCode, StudentID, CourseID and GradeMonth. And you say lets have a fourth control for the grade. Let me clarify in my country a Grade is supposed to be a class or standard in which a student is enrolled in. In your country a grade is different. I just told you this for information sake. Now, my confusion remains as I cannot see which control on the second sub form will be used for allotting marks for each student?

    Also, I do not want to show records for one student at a time, I want the second sub form to populate with the names of all students belonging to the particular CenterCode chosen from the main form combo box then I can enter the marks for each student according to their StudeintID's.

    You keep missing the point here. Once more. 

    The attributes of a grade are the Student who received the grade, the course the grade was for, the period the grade covers and the grade itself. So you have a RECORD in a table with those attributes. So each grade is a RECORD in a table. NOT a field. So if there are 4 courses they received a grade for, then there will be four records for that student for that period.  So your second subform is already set except that it needs a control for the grade. 

    Now, if you want to ONLY show the records for one student at a time, that can be done. What can aso be done is to pre-populate the table for all the courses.  But you have to stop thinking of the grades as fields in a table for each course.

    Hi,

    Thank you for the quick reply. Yeah, you're right there is actually no need for the first subform, but then, it provides a visual representation to the user to avoid mistakes when filling out the marks for the student.

    Okay, now, each student has to go tests in 4 subjects or courses each month. Each subject or course (there are 4 of them wiz. Hindi, English, Mathematics and Science) is of 100 marks maximum making a total of 100 x 4 = 400 marks total for each student. So, for example, in English a student scores 55/100, in Mathematics scores 72/100, in Hindi 45/100 and in Science 89/100. The report should show the total of each subject the student got in the month and then calculate a percentage aggregate for each student.

    Now, I need to know do I make 4 text boxes on the second sub form for each student in the continuous form in tabular view to store the marks for each student? But the question is which field will store these marks in their respective subjects?
