Edit/Add Meeting Notes on meeting invite sent from someone else

I have a user who used, supposedly, used to be able to add note/details to a meeting they were invited to for our president.

For instance, the user Sally, received and accepted a meeting on behalf of John from Meeting Organizer. Sally would then be able to add notes about travel arrangements for John into the meeting she accepted on John's calendar. Now, she is no longer able to edit/add these details or the meeting at all.

Is it possible to add notes/details to a meeting invite from someone else? I am not interested in the OneNote plug-in function that allows you to edit a note for a meeting in OneNote. We would want to do this only inside Outlook.

User has full owner rights to the mailbox and calendar and we've tried it with added delegate rights and without.

Anna,

First make sure you are on the Beta Channel or CC Preview latest build. This new feature will be in Current Channel later this week in Version 2311 (Version page, Update history).

Go to the Calendar tab in Outlook and add an appointment to your calendar. It can be anything. Double click on that appointment to open it and then click File, Options, Customize Ribbon, etc. Rest of steps from Known Issue article below.

Images are blocked and meeting body is read only in Outlook Desktop if calendar items are from other senders for Microsoft Outlook Spoofing Vulnerability released August 8, 2023 - Microsoft Support

Add the Edit Meeting button to the Ribbon

  1. In Outlook Desktop switch to your calendar and open a meeting item.
  2. Select FileOptions, then Customize Ribbon.
  3. In the right column under Customize the classic ribbon, under Main Tabs, select Appointment.
  4. Select New Group and then after it appears, rename it Edit Meeting. You can rename it later if you prefer.
  5. Use the Move Up arrow to move the Edit Meeting button under Actions. Keep the new group Edit Meeting selected.
  6. Using the column on the left, under Choose commands from: click the dropdown and select Commands Not in the Ribbon.
  7. In the picker box, locate and select Edit Meeting, then click Addto add it to the custom group you just created.
  8. Select OKto exit Customize the Ribbon.
Edit meeting button Customize ribbon in Outlook

If this is an important feature please send feedback from New Outlook via Help, Feedback so it can be considered in the New Outlook development."

Well, this IS an important issue- as you can clearly see by scrolling through the plethora of responses to the issue over the past several months. Feedback has been sent from numerous contributors on numerous occasions.

Latest we (this forum) have been told is that it will probably NOT be a feature in the upcoming WORKING version of Outlook due to security reasons - I'm not talking about any beta site or any other test environments that are blocked by company TAC/IT/ISD in both the Classic and the New Outlook versions currently available for use.

Hopefully this helps to recognize the frustration we are feeling. We are told "try this", or "add this to your ribbon". All those options are greyed out. We have pretty much all tried, and some have been able to make that feature work, but the majority just have too many security constraints in place by our place of employment that those are not viable solutions.

I hope no one takes offense in my throwing you under the bus and adding you to my rant. These views and opinions expressed on this Microsoft Community Forum are those of the author - THAT WOULD BE ME - and do not necessarily reflect the official policy or position of anyone else that is on this string. But if they do, good for them! :-)

HOW DO WE GET MICROSOFT TO RESPOND / ACT / CHANGE THE ABILITY BACK TO BEING ABLE TO MAKE PERSONAL NOTATIONS IN A THIRD PARTY MEETING INVITE IN OUR OWN CALENDAR ?

Where on these "answers.microsoft" threads / inquiries does Microsoft step in and resolve their customer's issues and complaints ? Does anyone know how to ACTUALLY reach Microsoft ???

I add restaurant reservation confirmations, I add resumes to interview invites, I add reports, I add directions for the given meeting, I add images, I add event specifics. The list goes on and on and on ...............................

    MICROSOFT --- help us !!!!

I have a slightly different use case then what I have seen discussed but exactly the same root issue, where I was previously able to make a "person note" in the body of an invite that was only saved/visible to me when the invite came from someone else. In my case I was appending billing code information that I later scaped out of outlook to build out my timesheet for the week, the loss of this functionality has created significant disruption for myself and many others that use the same process.

Please consider rolling back to reintroduce this functionality.

The invites are external and come from outside the organization. As previously mentioned in another post, the goal is not to edit critical information such as the date/time/attendees and conference/bridge line info. I work for a company (Providence) employing over 100K people and I can guarantee this functionality is a feature, not a bug. Being able to add additional content/notes/attachments or adding partial email thread to the invite as reference or serve as a reminder is a great feature. Having to create another invite to sit alongside the original invite only causes confusion and clearly is extra work and causes calendars to look even more busy, especially if color coding is not used. Please contact our Primary Outlook contact w/Microsoft, Kevin Cain, ******@providence.org.
