How to stop Outlook 365 retrieving template

I dont use templates. I do use signatures.

Small single user business with 1 x exchange email account , with multiple sub-addresses (admin@ hello@ records@ etc)

The pop up ONLY appears after changing the email address in From field - for replies/new emails/forwarding

Each email address has a different signature attached to it.

I also have a gmail account in my outlook profile. The pop up DOES NOT appear if changing From field from my gmail account to one of my exchange account email addresses.

It does occur if changing the From field from my gmail address back to an exchange email address

Rebooting/restarting Outlook has no impact.

No encryption is used

Occurs identical pattern on two computers - 1 x win11 , 1 x win10

Outlook 365 is set up fairly similar on both - same 2 email accounts (gmail & exchange)

Different add-ins on the 2 computers - one has Microsoft exchange & Zoom (only)

the other has MS Exchange, MS Sharepoint server colleague..., OneNote Notes, Outlook social connector

Thank you both. I have shared these updates back to the engineers and dev working on it. I'll post back as soon as we know more.

I dont use any templates either. It seems like this is popping up for me all the time in random places. One place I noticed it is when changing the "From" field. I have several emails I check in outlook. When sending a new email, if I change from the default sender to a different sender email, it pops up then for me. Seems like just the first time after a start, then it is OK the rest of the day.

1. We don't use any custom templates, so this is occurring with the standard Outlook/Office 365 setup. I can't say with 100% certainty that no one in the company uses templates but I know I don't and our CFO has been experiencing the same and he is also using the standard setup (no custom templates).
2. We are generally not using any encryption, so I can't answer that. No, we have not seen in anywhere except when using Outlook. In my own experience it happens daily when trying to open or reply to the first message of the day and then somewhat randomly after that. We did setup Sensitivity Labels for testing in Teams, but we are not using those for e-mail.

Thanks for offering to help. The dev investigating this asked us a couple questions. Can you let me know if any of these apply?

1. Is it happening on a particular template or any template? Are your uses using email templates, Send an email message based on a template (microsoft.com)? Does the issue happen on any email or do they need to be sending using a template email they created?
2. Does it also repro for Labels with encryption enabled? If so does it happen on other Office apps as well? Are users applying Labels when sending the emails e.g. Apply sensitivity labels to your files and email in Office (microsoft.com)?

I suspect neither of these apply but I want to double check so I am not overlooking anything.
