Indexing problems Outlook - Windows 11

I have updated to windows 11 and my outlook is continually trying to index and is paused alot.

I have installed all updates.

It gets to over 200,000 items indexed then pauses and starts again.

Can you please help with this problem

    Hi Dean,

    Greetings.

    Thank you for raising your concern in this community.

    From what i understand, this might be due to the number of your outlook items.

    When you reach a certain number of items

    • 100,000 items per folder
    • 5,000 items per Calendar folder

    The outlook performance will be reduced. So for now I will suggest you to observe the situation.

    If it started today, please give a day to see the improvement.

    If it has being going on for some days, please let me know and I will further assist you.

    As we are working on this, I will ask for your patience and understanding.

    Hello Mac,

    thank you for the email.

    It has been ongoing for about a week now. I have been allowing the process to continue by itself.

    sometimes it is paused, there is no option to restart or to stop it pausing.

    On other occasions it looks like it has restarted by itself - ie when i checked it might at 160,000 items indexed and check the next day and it is at 4,000 items.

    Hello Mac,

    The indexing went for a couple of days and now it has paused again. See screen shot. It does make it very difficult because you cannot search for anything in outlook, calendars or tasks. It was working fine and had done for years before this new update.

    I am ahving exactly the same problem after my Windows 11 update.

    Outlook search is not working an indexing starts and then it goes back to the beguinning

    Hi Dean,

    Thank you for your reply.

    We can try some general troubleshooting steps first an see how it goes.

    1- Repair an Office application - Office Support (microsoft.com)

    2- Create an Outlook profile (microsoft.com)

    • After that if the issue persist you can analyze your outlook mailbox for indexing.

    Open your control panel in the windows search> in the control panel page search for indexing options> troubleshoot search and indexing.

    • Another step is to rebuild your Outlook search index

    In outlook go to File> Options> Search> Indexing Options> Advanced Indexing settings> Rebuild> Ok

    The indexing issue can also be directly related to windows.

    So for that, we can try some steps when it is paused:

    Go to Control Panel > Administrative Tools > Services> Windows Search and Restart the service.

    Run the troubleshooter

    • Select Settings from the Start Menu.
    • Search Troubleshoot in the search box.
    • Scroll down to find Additional troubleshooters.
    • Under the Find and fix other problems section, select Search and Indexing and then click the Run the troubleshooter button
    • Restart the windows search
    • Click the search icon, type Task Manager in the search box.
    • When the Task Manager window pops up, click the Details tab.
    • Under the name column, scroll down to locate SearchUI.exe. Right-click SearchUI.exe and then click End task
    • Confirm to end process. And the next time you will search, the indexing will start automatically.

    if the issue persist, there maybe a need to reinstall windows 11.
