How do I set up an Auto BCC to my CRM in Outlook 365?

You can do effectively the same thing as auto-BCC with a new rule.  This one works for me:

  1. Go to the "home" tab of the ribbon/toolbar
  2. Click the "rules" dropdown and select "Manage Rules & Alerts"
  3. From the "Rules and Alerts" dialog box, select "New Rule"
  4. This pops up a "Rules Wizard" with a number of templates in it.  Pick "Apply rule on messages I send", and hit "Next".
  5. The next dialog shows conditions, leave all unchecked and hit "Next".  You'll get the warning "This rule will be applied to every message you send", hit "Yes".
  6. The next dialog lets you select what to do with the message - check next to "move a copy to the specified folder".  At the window in the bottom of this dialog you'll see the line "move a copy to the specified folder" appear, click the underlined word "specified", from the resulting dialog pick your Inbox and hit "OK".
  7. The next dialog lets you pick exceptions, click "Next" again.
  8. The final dialog lets you name the rule, make sure "Turn on this rule" is selected.  The rule showing in the bottom window should read
    1. "Apply this rule after I send the message"
    2. "move a copy to the Inbox folder"
  9. Click "Finish" and the new rule will be created.
  10. Hit "OK" one more time to leave the "Rules and Alerts" dialog.

    Instead of using Rules, use Quick Steps!!

    Edit the Reply rule and call it 'BCC Reply'. It gives you the option of adding a BCC Email.

    You can create one for 'BCC Reply All' and 'BCC New' too! :)

    You will need to remember to click on the Quick Step to reply instead of the normal Reply button.

    Hi Miles,

    Thanks for your update.

    By default, there is no BCC option when we create rules in Outlook client. If you have concern of this, we suggest you submit feedback to our relevant team via the Send a smile button in the upper right corner in your Outlook.

    As a workaround, if you are an administrator of your organization, I would suggest you use the transport rule to BCC other users when emails are sent from a specific user. Here are the steps below:

    1. Log into Exchange admin center (https://outlook.office365.com/ecp/ ).
    2. Click mail flow>> rules >> click add, then create a rule as screenshot shows below:

    Moreover, other community members who have the similar question are welcome to share their experiences for the specific scenario, so that we can learn from each other.

    For those looking for the EXACT answer to this question... Below is a simple step by step guide.

    UPDATE - I've adjusted the code a little, to fix a need (including current bcc entries).

    The link above does this by using a Macro.  To BCC a CRM (or any resolvable email address), please follow the steps below.

    • To Create a Macro, Select the "Developer" tab in the Ribbon. Then Click "Visual Basic."
    • In the left-hand pane, select "Microsoft Outlook Objects" and double click "ThisOutlookSession," under "Project1" (if you have no other Macros).
    • In the new window, copy and paste the following code:

    Private Sub Application_ItemSend(ByVal Item As Object, Cancel As Boolean)

    ' ###### Setting variables

    Dim objRecip As Recipient

    Dim strMsg As String

    ' ###### ### Added curBcc to include current bcc entries ###

    Dim curBcc As String

    • Replace "******@ADDRESS.COM" with your CRM Provided email.

    (For SalesForce this should be in your account settings, under "Email" and "My Email to SalesForce".)

    • Press the Save Icon.
    • Press F5 or "Run" then "Run Sub"
    • Name your Macro (I called mine "EmailToCRM"). Make sure there are no spaces or special characters (just in case).
    • Close the MS Visual Basic window and send a test email.

    I also adjusted my CRM settings to notify me when an email is received and use rules to move that into a folder for verification (for C.Y.A.).
