Welcome to the Microsoft Q&A Platform and thank you for your question!
If you're experiencing connectivity or availability issues with a printer connected through Universal Print, I would like to provide a few key steps to help you troubleshoot and stabilize the connection.
- Restart the Universal Print Connector
Instead of rebooting the printer, try restarting the Universal Print connector service on the machine hosting the connector.
Please, ensure you're using the latest version of the connector, which can be downloaded here: aka.ms/UPConnectorMSI
- Update Printer Firmware & Drivers
Universal Print does not manage firmware updates, so it's essential to manually update firmware and drivers via the printer manufacturer. Please kindly following the steps.
1.Identify Printer Model & Firmware Version
- Go to Universal Print Portal → Printers → [Select your printer]
- Note the model and manufacturer
- Access the Embedded Web Server (EWS) of the printer (if available) to view current firmware version
2.Download and Apply Latest Firmware
- Visit the manufacturer’s support page (e.g., HP Support, Canon Support)
- Search by model, then download and install the latest firmware
- Firmware updates often fix issues like network dropouts or auto-sleep states that may require physical restarts
Note: Universal Print only manages print job processing and connector registration, firmware updates and device health must be handled directly through the printer vendor.
- Check Printer Power Management Settings
Many printers include features like deep sleep, network timeout, or auto power-off. These can disrupt connectivity with Universal Print.
- Disable or increase timeout settings to keep the network adapter active
- If available, configure the printer to restart weekly using the admin panel to prevent prolonged idle disconnection
Please let me know how it goes. Wishing you a successful resolution and a great day!
